1. Definition of Personal Information and Initiatives for Protection

Hitachi Systems, Ltd. (hereinafter referred to as "Hitachi Systems") defines personal information as information pertaining to individual persons that can be used to identify specific individuals by means of name, date of birth and other items contained therein (including items that can be easily collated with other information to identify specific individuals). Moreover, personal information includes not only personal identifiers, but any information that expresses facts, recognition, or assessment about the attributes of individuals, including physical characteristics, property, occupation and status.
Hitachi Systems, based on the "Hitachi Systems' Approach to Personal Information Protection" and "Personal Information Protection Policy", appoints a responsible manager in each department that handles personal information, and protects and manages personal information with extreme care and the utmost effort. Moreover, from the viewpoint of further protecting the rights and interests of the customer, Hitachi Systems engages in protection of personal information while taking the following matters into consideration:

  1. Voluntarily responding to requests by the customer to cease using personal information, etc.
  2. Promoting the transparency of outsourcing, for example, clarification of whether or not there is outsourcing, contents of outsourced work, etc.
  3. Clarifying the purposes of use of personal information to the customer
  4. Specifying as concretely as possible the sources of personal information, method of acquisition, etc. in requests for disclosure, etc.

2. Applicable Scope

This document "About Personal Information Protection" establishes Hitachi Systems' procedures for handling the personal information of the customer.

3. Personal Information Handling Policy (Purpose of Acquisition and Use and Provision to Third Parties)

  1. In relation to its main business activities of system construction, system operation, monitoring and maintenance, network services, and sales and development of information related devices and software, Hitachi Systems will only acquire and use personal information necessary for achieving the purpose of the following items. However, considering the wide-ranging nature of Hitachi Systems' business activities, please also refer to each business division's website.


    1. Fulfilling a contract concluded between the customer and Hitachi Systems
    2. Contacting the customer for the purpose of business negotiations or meetings
    3. Providing after-sales services and sending of notices about events and new products
    4. Executing work outsourced by the customer to Hitachi Systems, for example, system development, operation and maintenance
    5. Providing various membership services
    6. Clerical work related to shares
    7. Responding to various inquiries
    8. Analysis based on questionnaires geared to improving products and services
    9. Providing personal information to Hitachi group companies when conducting business activities jointly with the said group companies
    10. Clerical work related to subscription activities conducted by Hitachi Systems
    11. Hitachi Systems' recruitment activities, for example, screening and recruitment communications and sending of materials
    12. Recording of telephone conversations with the customer in order to confirm inquiry contents and improve telephone services for the customer
    13. Business which entails utilizing information that is disclosed on social networking services, etc.

    When Hitachi Systems requires the customer to directly provide their personal information as is written in a document (including electronic means such as online, email, etc.) in the above items, Hitachi Systems will clearly state the purpose of acquisition and use in advance and obtain the customer's prior consent.


  2. Hitachi Systems will not provide the customer's personal information to a third party without first obtaining the customer's prior consent, except in the following items.
    1. When required by law
    2. When it is necessary for the protection of human life, health or property, and obtaining the customer's consent would be difficult
    3. When it is particularly necessary for improvement of public health or promotion of the sound development of children, and obtaining the customer's consent would be difficult
    4. When it is necessary to cooperate with a national agency, regional public authority or its consignee in executing affairs that are stipulated in law and there is a risk that obtaining the customer's consent may impede execution of the said affairs
    5. When consigning the handling of personal information over the extent that is necessary for achieving the purpose of acquisition and use
    6. When providing personal information in accordance with the take-over of business due to merger or otherwise

  3. When required to do so for business activities in which Hitachi Systems is co-operating with Hitachi group companies, Hitachi Systems may sometimes provide to such group companies the customer's personal information, such as name, workplace and home addresses, telephone numbers, facsimile numbers and email addresses. In such cases, the customer's personal information will be provided in paper media or electronic media. The customer can request that Hitachi Systems cease providing personal information to group companies.

4. Handling of Specific Personal Information

  1. When handling specific personal information in its main business activities of information services, Hitachi Systems will comply with the Act on the Use of Numbers to Identify a Specific Individual in the Administrative Procedure (hereinafter referred to as the "Act on the Use of Numbers"), Act on the Protection of Personal Information, and Guidelines for Proper Handling of Specific Personal Information (for Private Entities).
  2. Considering its "Personal Information Protection Policy" to be its "basic policy for the proper handling of specific personal information", Hitachi Systems will ensure the proper handling of specific personal information.
  3. Hitachi Systems considers the performance of administrative procedures relating to social security, taxes, and countermeasures against disasters stipulated in each paragraph in Article 9 of the Act on the Use of Numbers to be the scope of use of specific personal information, and will obtain and use specific personal information to the extent necessary to achieve its purpose. The main scope of use of specific personal information handled by Hitachi Systems will be as follows:
    1. Clerical work in which, upon receipt of specific personal information provided by, for example, employees, Hitachi Systems states such information in necessary documents, such as certificates of tax deducted for employment income and retirement income, payroll payment reports, unemployment insurance notifications, and notifications of qualified persons covered by health insurance and corporate employees' pension insurance, and submits the aforementioned documents to the director of a taxation office, the mayor of a municipality, Japan Pension Service, or other organizations
    2. Clerical work in which, upon receipt of specific personal information, Hitachi Systems states such information in various reports of payment, such as reports of payment of remuneration and fees, reports of payment of dividends, distribution of surplus, and interest on funds, reports of payment of rental charges, such as for real estate, and reports of payment in consideration of the transfer of, for example, real estate, and submits the aforementioned reports to the director of a taxation office
    3. Performance of operations that involve clerical work entrusted to Hitachi Systems by an administrative organization or other private entity for the handling of specific personal information
      Considering the wide-ranging nature of Hitachi Systems' business activities, notifications and announcements concerning the purpose of use of specific personal information in such business activities may be given on each business division's website.
  4. Hitachi Systems will not provide the customer's specific personal information to any third party, except in cases stipulated by laws and regulations concerning specific personal information. Hitachi Systems will not jointly use such information. However, in cases that fall under any of the items stipulated in Article 19 (Restrictions on the Provision of Specific Personal Information) of the Act on the Use of Numbers, specific personal information may be provided.
  5. Hitachi Systems may consign handling of specific personal information within the scope of purpose of use stipulated by laws and regulations.
  6. Requests for disclosure, correction, addition, deletion, cessation of use, erasure, cessation of provision to third parties, or notification of purpose of use, or any complaint concerning specific personal information held by Hitachi Systems will be made in accordance with "11. Request for Disclosure, etc. of Personal Information, or Making of a Complaint".

5. Application Privacy Policy

Please refer to the following page concerning the handling of user information obtained by Hitachi Systems when the customer uses smart device applications and services provided by Hitachi Systems.

6. Safety Management Measures

Hitachi Systems' top executives have formulated the Personal Information Protection Policy to ensure that the organization handles personal information in an appropriate manner, and the Personal Information Protection Management Regulations (internal rules) have been formulated in line with this basic policy. A system has also been established for confirming and assessing compliance of internal rules with laws, regulations and JIS Q 15001, which is the governing regulation of the PrivacyMark. In addition to establishing these regulations, Hitachi Systems implements concrete safety management measures from four aspects (organizational, human, physical, and technical) when actually handling personal information.

7. System for Personal Information Protection in Foreign Countries

Hitachi Systems may, in the course of outsourcing parts of its personal information handling work, etc., provide personal information to third parties in foreign countries. Please refer to the Personal Information Protection Commission website* concerning systems for personal information protection in the countries concerned.

8. About Usage of Cookies and Web Beacons

Cookies *1 and Web beacons (clear GIFs)*2 are used on some of Hitachi Systems' websites in order to make the websites more user-friendly.

By changing the settings on the web browser, the customer may refuse to accept cookies or have a warning message displayed when a cookie is accepted. For details, please refer to the instructions for the Web browser being used. The customer may also refuse Web beacons by refusing to accept cookies.

However, please be aware that all or some of the services provided on Hitachi Systems' websites may be rendered unavailable in case the customer refuses to accept cookies.

Cookies
Refers to information exchanged between the Web server managing a website and the customer's Web browser. Cookies may be stored as files on the hard disk of the customer's computer. By using cookies, the Web server can record what pages on a website have been visited on a specific computer. However, Hitachi Systems cannot pinpoint or identify the customer unless the customer enters their own personal information on the website.

Web Beacons
Refers to a technology that works with cookies to understand how many times the customer has accessed a specific page. However, Hitachi Systems cannot pinpoint or identify the customer unless the customer enters their own personal information when receiving cookies.

Use of Google Analytics

This website uses Google Analytics to understand conditions regarding visits to the site by the customer.
Google Analytics is used by Google to collect, record and analyze the visit history of the customer to this website based on the cookies issued by Hitachi Systems.
Hitachi Systems receives the findings of such analysis from Google and uses them to understand conditions regarding visits to the site by the customer.
By disabling Google Analytics on the browser add-on settings, the customer may also suspend Hitachi Systems' collection of the customer's information using Google Analytics.
Information that is collected by means of Google Analytics is managed based on Google's privacy policy.

9. Concerning Use of Google Behavioral Advertising

Acquisition and Use of Attribute Information and Behavior History that Does Not Specify Individuals

On this website, we utilize programs provided by advertisement distributors to conduct behavioral advertising (advertising technique whereby ads are distributed according to the interests of users based on their site viewing information, etc.) on specific sites. At such times, we use cookies to gather site visit history information (however, this includes no information that could specify or identify individuals).

Advertisement distributors use the said cookies to distribute advertisements based on information concerning past access to the website. If you wish to disable such advertisements, you can access the advertisement distributor's opt-out page and disable cookies. Resetting will be required to change your browser, delete cookies, switch to a new PC and so on.

  3. When the customer enters personal information on Hitachi Systems' website, it is required that they consent to this document "About Personal Information Protection". If the customer cannot consent to this document "About Personal Information Protection", they may not be able to use the services provided by Hitachi Systems (including response to inquiries etc.). Also, if the person entering personal information is aged 14 years or below, please enter the personal information upon first obtaining the consent of a parent or guardian.

14. Special Notes

  1. Hitachi Systems' Personal Information Protection Policy is in accordance with the laws of Japan.
