1. Hitachi Systems' Approach to Personal Information Protection

Hitachi Systems, Ltd. (hereinafter referred to as "Hitachi Systems") aims to be a global service company that creates unique services combining internationally connected human resources with cutting-edge information technology and earns the complete trust of customers. As such, Hitachi Systems handles various kinds of information including that provided by the customer. Accordingly, Hitachi Systems is committed to establishing and thoroughly implementing information management systems to ensure that the value of such information is respected. Against this background, Hitachi Systems aims to establish management systems with respect to personal information protection and stipulates the following Personal Information Protection Policy in compliance with JIS standards (JIS Q 15001) and the Act on the Protection of Personal Information, as well as keeping executives and employees fully briefed, and taking steps to ensure that they are readily available to members of the public. We will also strive to appropriately protect personal information according to this policy.

2. Personal Information Protection Policy

Formulation of personal information protection rules and ongoing improvement of personal information protection management systems
Hitachi Systems will impress on executives and employees the importance of personal information protection, formulate management rules to ensure the appropriate use and protection of personal information, and steadily implement personal information protection management systems. Further, it will maintain and continuously improve these systems.

Acquisition, use and provision of personal information and prohibition of use for purposes other than the original intent
Considering that Hitachi Systems is entrusted with personal information in its business activities, it will establish a personal information protection management structure corresponding to each work situation and conduct appropriate handling according to the prescribed rules when acquiring, using and providing personal information. Moreover, it will not use personal information for purposes other than the original intent, and will take steps to this end.

Implementation of safety measures and correction of problems
Hitachi Systems will implement information security measures and other safety measures to ensure the accuracy and safety of personal information, and strive to prevent the leakage, loss or damage of personal information. Moreover, if problems are found regarding safety measures and so on, Hitachi Systems will identify the causes and take corrective actions.

Compliance with laws, guidelines and norms
Hitachi Systems will follow the Japanese laws, guidelines and other norms for the handling of personal information. Also, it will adapt its personal information protection rules to conform with these laws, guidelines and norms.

Respect for the customer's rights concerning personal information
When Hitachi Systems is requested by the customer to disclose, correct, delete or refuse to use or provide personal information, or it receives a complaint or request for consultation, it will respect the customer's personal information rights and respond in good faith.

3. PrivacyMark

Hitachi Systems is granted the use of PrivacyMark, which is given by the Japan Institute for Promotion of Digital Economy and Community (JIPDEC) to organizations that properly handle personal information.

4. Applicable Scope

This Personal Information Protection Policy establishes all matters concerning the handling of personal information by Hitachi Systems in its business.

5. Initiatives for Personal Information Protection

Hitachi Systems protects and manages personal information with extreme care and the utmost effort based on the "Hitachi Systems' Approach to Personal Information Protection" and "Personal Information Protection Policy".
In this document, "personal information" refers to the following information that can be used to identify the customer.

  1. Information that is provided by the customer to Hitachi Systems by inputting on the "Inquiry Form" or by another method
  2. Other information that is provided by the customer to Hitachi Systems

6. Personal Information Handling Policy (Purpose of Acquisition and Use and Provision to Third Parties)

  1. In relation to its main business activities of system construction, system operation, monitoring and maintenance, network services, and sales and development of information related devices and software, Hitachi Systems will only acquire and use personal information necessary for achieving the purpose of the described items. Moreover, when receiving personal information from the customer, Hitachi Systems will clearly state the purpose of use in advance and obtain the customer's prior consent.
  2. Hitachi Systems, except under specific conditions, will not provide the customer's personal information to a third party without first obtaining the customer's prior consent.
  3. When required to do so for business activities in which Hitachi Systems is co-operating with Hitachi group companies, Hitachi Systems may sometimes provide to such group companies the customer's personal information, such as name, workplace and home addresses, telephone numbers, facsimile numbers and email addresses.
  4. If it becomes necessary for Hitachi Systems to use personal information beyond the scope of intended use specified in advance, it will give prior notification to the customer and use upon first obtaining the customer's consent.

7. Request for Disclosure, etc. of Personal Information, or Making of a Complaint

If the customer wishes to request disclosure, correction, addition, deletion, cessation of use, cessation of provision to third parties or notification of the purpose of use (hereinafter referred to as "disclosure, etc.") of the customer's personal information held by Hitachi Systems, or the customer wishes to make a complaint, this can be done in accordance with the prescribed procedures.

8. Other Important Matters

  1. Concerning safety management measures, as well as the system for personal information protection in foreign countries
  2. There are matters we wish to request to the customer concerning provision of personal information, acquisition, etc. of prior consent, and personal information protection.
  3. There are matters we wish to communicate regarding handling of "About Personal Information Protection".
  4. There are precautions concerning the use of cookies and Web beacons on the website.
  5. When the customer contacts Hitachi Systems by telephone, to ensure provision of an accurate response, we may record the contents of the conversation.


  6. There are matters we wish to communicate regarding the sites handling personal information that are provided by Hitachi Systems.
